Whitsett Fall Festival & Release 2025

The undersigned has applied to participate in the Whitsett Fall Festival. Whereas, in connection with said request to be approved to participate as a vendor of goods or services in said market, the undersigned acknowledges that the Town of Whitsett shall not have any responsibility to insure the safety of the premises for participants, staff and volunteers. Whereas, the undersigned in consideration of being an approved vendor at said event, agrees to assume the risk of injury to person and property stemming from participation in the Whitsett Fall Festival. Therefore, the undersigned, in being an approved vendor at said event, does hereby waive and release unto the Town of Whitsett and its employees and representatives any claim which might arise against said party, their agents or employees, arising out of any injury to person or property which may occur by virtue of participation in said event. The undersigned acknowledges that this waiver shall operate to bar the undersigned from any claim it may have for injury to property or person for any event which may occur during participation in the Whitsett Fall Festival including any injury which may arise due to the condition of streets or sidewalks and the undersigned does hereby further waive and release unto the said Town of Whitsett any such claim or cause of action and agrees that he/she shall hold the Town of Whitsett, its employees, agents or elected officials harmless from any liability arising out of any such act. I understand and agree that this release shall be binding upon my executors, administrators, personal representatives, heirs, successors and assigns and shall inure to the benefit of the Town of Whitsett, its employees, agents, representatives and elected officials. 

 

Proof of liability insurance policies are required from your insurance agency for food and high risk activities.  Ask your insurance agent for a certificate extending your policy to the Town of Whitsett for this event dated for October 4th, 2025.  Please send this certificate to townhall@whitsettnc.com with your name and Company name in the subject area.

 

WHITSETT FALL FESTIVAL 2025

Rules & Regulations

Saturday, October 4th, 2025 -10 am – 2 pm

Thank you for your interest in participating in our annual Whitsett Fall Festival sponsored by the Town of Whitsett.  

Approved vendors may begin setting up at 7:30am on the day of the event. Please unload your vehicles and move them as quickly as possible. While unloading, be sure to park in a manner not blocking incoming traffic. Set-up must be complete, and all vehicles must be moved to Vendor Parking (behind Whitsett Fire Dept and TOWE Baptist Church-next to Fire Dept) NO LATER THAN 9:30am. Anyone setting up early in violation of this rule may be subject to expulsion without refund. Please submit your application and payment as early as possible.  Space is limited and does sell out. Your acceptance to be a festival vendor is based on the items you are selling, and the number of similar vendors already accepted. The Town of Whitsett reserves the right to accept or deny any application at their sole discretion. It is important to be as specific as possible in your application. You are limited to selling or providing services and/or items listed on your approved application.

  1.      There is a fee for all vendors. (Non-Profit organizations included).
  2.      Vendor spots are limited; spots will be assigned on a FIRST COME/FIRST SERVE basis on the date the completed application and payment of vendor fees are received. If you have a special request for the location of your booth, please let event chair person know well in advance of the event. Vendors will be notified of their assigned booth location one week prior of the festival.  Sign in at the information desk when you arrive.  Applications will not be accepted and space will not be approved or assigned without payment and signed application, rules and waiver. Incorrect amount paid and non-sufficient fund checks will result in a rejected application.   There will be a $35 Returned Check fee should the check have non sufficient funds.
  3.      All booths are the size of a 10x10 area or 10x20 area.  Your display must not exceed these measurements. 
  4.      Water is not available on site.
  5.      Open flames are prohibited in vendor booths.
  6.      The use, possession, or intent to sell alcohol and illegal substances is strictly prohibited.
  7.      The possession and sale of weapons, ammo, fireworks, smoke bombs, knives, bow & arrow, blow guns and hazardous materials is strictly prohibited.    Canned string, or fake cigarette items are strictly prohibited. The Whitsett Fall Festival committee reserves the right to prohibit the display/sale of any items it deems to be not in keeping with the family-friendly nature of the event; you must comply with any requests by the committee to stop displaying such item(s).
  8.      Vendor's pets/animals are not allowed in vendor booths. (service animals are permitted with proper documentation)
  9.      Vendors are responsible for their trash. Trash may not be left behind. You must clean up all your trash after the event.  Trash cans are provided outside the Town Hall.
  10.   The Town of Whitsett reserves the right to limit the number and types of arts, crafts, nonprofits, and food vendors at their sole discretion.  
  11.   Cooking and processing food on site is prohibited without prior approval from the Town of Whitsett and/or the Guilford County Health Department. All food vendors must secure appropriate permits with the Guilford County Health Department. “Food” includes items cooked or processed on site. Prepackaged baked goods, jams, etc. are craft items not “food.” Baked goods, jarred goods, jams, jellies, bread, pickles or any other prepared food/craft items must be packaged in a sealed container. Each individual item must be packaged and labeled individually. The label must include the name of the product, the preparer’s name and phone number, as well as all ingredients used to prepare the item. Pre-packaging of each item is to be completed at a site away from the Fall Festival in a kitchen facility prior to display at the Event. This does not apply to fresh produce.  
  12.   All vendors must sign and return the Fall Festival Waiver, Release, Rules and Regulations with their application and payment. Incomplete submissions will be rejected.
  13.   No refunds will be provided under any circumstances.  There is no “rain” date for this event.
  14.   All applications must be received by ­­­­___September 23rd____. Applications received after that date may not be accepted.
  15.   Applications and payment need to paid online if possible.  Otherwise mail to:   Whitsett Town Hall, P.O. Box 186, Whitsett, NC 27377. You may also bring to the Town Hall at 881 NC Hwy 61 in Whitsett.
  16. Failure to adhere to the rules, regulations and specific instructions may result in expulsion from event and in rejection from future events.
  17. Amplified sound in individual booths is not permitted.
  18. Vendors may not stroll around to hand out samples and publicity or to promote their wares. All business must be conducted within the confines of the booth.
  19. Vendors may not break down their booths and/or displays, prior to the end of the fall festival at 2:00pm. 
  20. Any sales tax liability incurred during the festival is the responsibility of the vendor.
  21. The Town of Whitsett may take photos of booths and products for promotional use.
  22. The Town of Whitsett does not provide internet service or WIFI. Electricity is not available.  Vendors are responsible for their own generator.
