Rules & Regulations

Thank you for your interest in participating in our annual Whitsett Fall Festival sponsored by the Town of Whitsett.
Whitsett Fall Festival & Release 2026
By submitting an application and/or payment to participate in the Whitsett Fall Festival, vendors acknowledge and agree to the following terms and conditions.

Liability & Release
Participation in the Whitsett Fall Festival is at the vendor’s own risk.
The Town of Whitsett is not responsible for injuries, loss, or damage to persons or property.
Vendors agree to release and hold harmless:
• The Town of Whitsett
• Its employees
• Agents
• Representatives
• Elected officials
from any claims arising from participation in the event.
This agreement is binding upon the vendor and their heirs, representatives, and assigns.

Insurance Requirements
Proof of liability insurance may be required for food vendors and high-risk activities.
Insurance certificates must:
• Extend coverage to the Town of Whitsett
• Be valid for the October 3rd, 2026 event

Event Details
Whitsett Fall Festival Saturday, October 3rd, 2026 10:00 AM – 3:00 PM
Vendor setup begins at 7:30 AM, and vendors will be assigned arrival times and location spots once approved to keep unloading traffic flowing smoothly. Please arrive around 5 minutes before your assigned time to allow for this.
There will be Volunteers to help with the unloading process.

Vendor Setup & Parking
Upon arrival, vendors will be given a ticket that will match their location number to be kept in the windshield of their vehicle so that the vendor can be reached in case something happens in the parking area.
• Vendors must unload quickly and move vehicles immediately.
• Vehicles must be moved to vendor parking by 9:30 AM.
• Vendor parking is located behind:
o Whitsett Fire Department
o TOWE Baptist Church (next to Fire Department)
Late Arrivals may be turned away from the event Failure to comply may result in expulsion from the event.

Vendor Approval & Participation
Please remember that:
• Space is limited and may sell out.
• Applications are approved based on:
o Items being sold
o Vendor variety
o Space availability
The Town of Whitsett reserves the right to approve or deny applications at its discretion and to remove any vendors at its sole discretion. We will consider location requests once the application is approved.
Vendor placement is determined by the Town of Whitsett and is final.
Vendors may only sell items listed on their approved application. Unauthorized items, substitutions, or additions are prohibited and may result in immediate removal.

Vendor Fees
A vendor fee applies to all vendors, including nonprofit organizations.
This fee is non-refundable.
Vendor spaces are assigned on a first-come, first-served basis once:
• Application is completed and conformation email has been sent by the town upon approval
• Payment is received
Returned checks will incur a $35 returned check fee.
We will confirm your participation once the vendor fee has been paid. If vendor is not selected for any reason application fee will be reimbursed.
Vendor fee's include the vendor fee, application sales tax, and processing fees.

Booth Size Requirements
Booth spaces are limited to:
• 10x10
• 10x20
Displays must remain within the assigned space.
All pricing must be clearly displayed with the use of either professionally printed signage or legible and neatly done handwritten signage.

Utilities
The following are not available at the event site:
• Water
• Electricity
• Internet/Wi-Fi
Vendors requiring electricity must provide their own quiet generator.

Prohibited Items
The following are strictly prohibited:
• Alcohol sales
• Illegal substances
• Weapons or ammunition
• Fireworks or explosives
• Open flames
• Blow guns or similar hazardous items
• Hazardous materials
• Canned string
• Any type of tobacco product/vape
The festival committee may remove any display that is inappropriate for a family-friendly event.

Animals
Pets or animals owned by vendors are not permitted in booths.
Service animals are allowed.

Food Vendor Requirements
Food vendors must:
• Obtain all permits required by the Guilford County Health Department
• Follow all food safety regulations
• Condiment tables and coolers are the only things allowed in front of the food vendor booth/truck
• Free sampling of food or drink is not permitted
• Must accept festival IOU tickets (For one meal and one drink) as a form of payment from staff & volunteers.
o Vendors will be reimbursed for IOU tickets by Town Hall at the end of the festival. Bring the tickets to the Town Hall Info booth to receive reimbursement.
• No raffles
Food prepared in advance must:
• Any “Craft Items” such as Baked goods, Jarred goods, Jams, Jellies, Breads, Pickles, Etc. need to be placed in a vacuum-sealed container.
• If using a claim shell or to-go box, they must be sealed with either clear tape or a label that will seal the container shut to prevent any tampering with the item.
• Include labels listing:
o Product name
o Preparer name
o Phone number
o Ingredient list
Food must be prepared in an approved kitchen facility before the event. This requirement does not apply to fresh produce.

Trash & Clean-Up
Vendors are responsible for maintaining a clean booth area.
Requirements include:
• Removing all trash from in and around the assigned booth
• Vendors are allowed to use the dumpsters provided outside Town Hall
• Leave the assigned area clean at the end of the event

Event Conduct Rules
Vendors must:
• Conduct all business within their booth
• Not distribute samples or promotions away from their booth
• Do not break down booths before 3:00 PM
• Follow all instructions from event staff
• Playing music from your operation is not allowed
• Must furnish sufficient change for their sales transactions.
o The festival cannot provide change
Failure to follow rules may result in removal from the event.

Refund Policy
Vendor fees are non-refundable under all circumstances.
There is no rain date.

Application Deadline
All applications must be received by: August 31st, 2026
Applications received after this date may not be accepted.
